Senior Administrator – Sales and Rentals

COMPANY:
Luxury real estate and vacation management company. Headquartered in Wilmington, NC and serves the entire coastline of North Carolina.

REPORTS/RELATIONSHIPS:
This position will report directly to ­­­­the Chief Executive Officer/Owner.

BASIC FUNCTIONS:
The individual who occupies this position will support continued growth while leading the launch and expansion of services in the Outer Banks. The position operates across three core functions: Company-wide Administrative and Operational Support, Outer Banks Office Coordination and Agent Support, and Vacation Rental Expansion and Market Leadership. This role is designed for a highly capable, entrepreneurial, and polished professional who can operate at a high level across multiple disciplines while serving as the local face of the company in the Outer Banks.   

This is a high-impact, three-faceted role that sits at the intersection of growth, operations, and client experience and is intentionally structured as a three-pronged responsibility, with clear prioritization and expectations across each area.

Specific duties will include, but not necessarily be limited to:

Company-wide Administrative and Operational Support

  • Provide administrative and operational support to the enterprise as a whole.
  • Assist agents with listings and transactions; coordinate documentation and client communication.
  • Maintain MLS systems; conduct property research.
  • Support marketing initiatives and serve as customer service liaison across both companies.
  • Strong organizational ability to provide precise, responsive support and a commitment to excellence in execution in supporting agents across Coastal North Carolina.


Outer Banks Office Coordination and Agent Support

  • Serve as primary support for the local office and agents in the Outer Banks market.
  • Maintain a polished, organized, and professional office environment.
  • Coordinate meetings and events; manage logistics and support agents’ needs.
  • Ensure smooth operations of the office on a day-to-day basis.
  • Act as the central point of coordination locally; contribute to both agent productivity and overall office culture. 


Vacation Rental Expansion and Market Leadership

  • Lead the expansion of the company into the Outer Banks.
  • Facilitate executing a disciplined, high-energy entry into the Outer Banks region by working closely with agents to identify and secure initial vacation rental opportunities; prospect and build relationships with homeowners; secure key local vendor partners (cleaning, maintenance, linen, etc.); assist in curating a small, highly intentional portfolio of luxury properties.
  • Focus on quality, presentation, and performance to meaningfully differentiate from the existing market; ensure consistency with brand standards and deliver a level of service that reflects the very top tier of the industry.


REQUIREMENTS:

  • Real estate license strongly preferred.
  • Knowledge of and experience with the Outer Banks real estate and vacation rentals market.
  • Experience in property management or short-term vacation rentals highly preferred.
  • Strong understanding of luxury service standards and client expectations.
  • Ability to operate with discretion and confidentiality at the highest level.
  • Self-starter, highly organized, exceptional attention to detail, and independently driven.
  • Polished, poised, and professional demeanor.
  • Strong interpersonal skills with the ability to build trust quickly.
  • Strong written and verbal communication skills.
  • Ability to prioritize and execute in a fast-paced, multifaceted environment.

COMPENSATION:
Compensation will be commensurate with experience, including a competitive base salary and significant bonus opportunity.
